Job Summary
The role holder is responsible for the day-to-day administration of Trust Fund portfolios, ensuring accurate, timely, and compliant processing of transactions including payments, receipts, allocations, reconciliations, and reporting. The role supports efficient coordination between front-office client service, back-office operations, and fund accounting functions while maintaining high standards of accuracy, compliance, and client service.
ROLES AND RESPONSIBILITIES
- Operational Execution
- Process trust-related transactions including payments, receipts, allocations, and income distributions accurately and within set timelines.
- Prepare and maintain up-to-date reconciliations for trust accounts.
- Ensure all transactions are supported by proper documentation and approvals.
- Maintain accurate records and update systems in line with operational procedures.
- Support the preparation of operational reports and schedules.
- Client Service & Support
- Respond to client inquiries in a timely and professional manner.
- Support the resolution of client issues and escalate complex matters where necessary.
- Maintain proper documentation of client instructions and correspondence.
- Ensure adherence to client service standards and turnaround times.
- Compliance & Risk Management
- Ensure all activities comply with trust mandates, internal policies, and regulatory requirements.
- Adhere to internal controls and escalate any discrepancies or exceptions identified.
- Support audit processes by providing required documentation and information.
- Maintain confidentiality and integrity in handling client and fund information.
- Reconciliations & Reporting
- Prepare periodic reconciliations and highlight any variances for review.
- Assist in the preparation of management reports and fund performance reports.
- Track and report pending items, exceptions, and outstanding transactions.
- Ensure accuracy and completeness of data used in reporting.
- Process Improvement & Support
- Identify n processes and recommend improvements.
- Support system updates, testing, and operational enhancements.
- Participate in team meetings and contribute to continuous improvement initiatives.
- Ad-hoc Duties
- Assist in special projects, system implementations, and operational reviews.
- Perform any other duties as assigned by the Assistant Manager or Head of Department.
EXPERIENCE, ACADEMIC & PROFESSIONAL QUALIFICATIONS AND KNOWLEDGE
- Bachelor’s degree in Finance, Accounting, Business Administration, Economics, or a related field.
- Professional qualifications (e.g., CPA, ACCA) or progress toward certification is an added advantage.
- 3 years’ post qualification experience in fund administration, trust operations, or financial services
